Equipment Refresh


Ensure that faculty and staff have the most current technology available to fully participate in a technology-enabled work and learning environment, while making the replacement process seamless and cost-efficient.


OIT will provide every full-time faculty and staff of participating units with a desktop or laptop computer approximately once every four years.  The oldest computers will be refreshed in year 1 followed by the next oldest computers in year 2 and so on.  Replacement is automatic, based on the age of the computer.


All full-time faculty and staff from participating units – one computer per position, once every four years. Individual staff/faculty are required to turn over their existing computer in order to receive a new one.

When computers become eligible for automatic replacement, the faculty and staff will be contacted via e-mail and directed to a Web form listing their options. The e-mail message notifying them of the impending replacement will contain a deadline for their reply. If they do not respond by that time, they will receive the new standard model with current configurations.

Once the new computers are ready for delivery, OIT Technology Support staff will contact faculty and staff directly to set up a mutually-convenient time to deliver the new equipment. OIT staff will transfer data from the old computer to the new one.

Configuration Options

Faculty and staff can choose between standard-model Apple Macs or Dell PCs, in either desktop or laptop configurations (subject to change each year). Configurations are carefully chosen to meet the current academic and business needs. See configurations options below.

How will I know when I am scheduled for my refresh?
The campus tech lead will work closely with the Department Chair or Supervisor to schedule the upgrades.

What happens to my old equipment? Can I purchase it for home use?
Unfortunately, we are unable to allow faculty and staff to purchase their old equipment.  All equipment must be surplussed to the state (DOAS).

How long will the upgrade take?
On average, a standard upgrade can take 2-3 hours, depending on the amount of data that needs to be moved to the new machine.

Will OIT backup my data?
OIT does not currently provide backup of user data.  You should always maintain a back up of your important files.

Will OIT move data from my old unit? What is covered?
Yes, data is automatically move from the old unit to the new one during the refresh procedure.  The default transplant includes folders under the user’s profile.  All other folders are ignored.UserFolders
